Why Screenshots Matter

Whether you are saving a frame from a streaming movie, documenting a technical issue, or sharing a gaming moment, screenshots are something we all use daily. Yet many people only know one method — often the least convenient.

This guide covers every method to take a screenshot on Windows, Mac, and Linux, including keyboard shortcuts, built-in tools, free software, and screen recording options.

Screenshots on Windows

The most basic method. Press Print Screen (often labeled PrtScn or PrtSc) to copy your entire screen to the clipboard. Then paste into Paint, Word, or any image editor with Ctrl + V.

This does not save a file. The image is only in the clipboard and will be lost if you copy something else before pasting.

Alt + Print Screen

Captures only the active window instead of the entire screen. Press Alt + Print Screen, then paste with Ctrl + V. Useful when you have multiple windows open.

Win + Print Screen

Press Win + Print Screen and your entire screen is captured and automatically saved as a PNG file in Pictures > Screenshots. The screen flashes briefly to confirm.

Win + Shift + S (Snipping Tool)

This is the most versatile method and our top recommendation for daily use. Available on Windows 10 and 11.

  1. Press Win + Shift + S.
  2. The screen dims and a toolbar appears at the top.
  3. Choose from 4 capture modes: rectangular selection, freeform selection, window capture, or full screen.
  4. The capture is copied to the clipboard and a notification appears.
  5. Click the notification to open the Snipping Tool editor where you can annotate, crop, and save.

The Snipping Tool app also supports delayed captures (3, 5, or 10 seconds) — essential for capturing dropdown menus or tooltips. On Windows 11, it can also record video.

Xbox Game Bar

Press Win + G to open the Xbox Game Bar. Use the camera icon for screenshots or Win + Alt + R to start/stop a screen recording. Captures are saved in Videos > Captures.

The Xbox Game Bar is not limited to games. You can use it to record any application, making it a quick screen recorder without installing extra software.

Screenshots on Mac

Cmd + Shift + 3

Captures the entire screen and saves it automatically to the Desktop as a PNG file.

Cmd + Shift + 4

Turns the cursor into a crosshair. Click and drag to select a rectangular area. Release to capture. The image is saved to the Desktop.

Tip: Press Space during selection to move the selected area. Hold Shift to lock one axis.

Cmd + Shift + 4 then Space

After pressing Cmd + Shift + 4, press Space. The cursor becomes a camera icon. Hover over any window and click to capture it with its drop shadow.

Hold Option while clicking to capture the window without its shadow.

Cmd + Shift + 5

Opens a floating toolbar with all options: full screen capture, window capture, area selection, full screen recording, area recording, and settings (destination folder, timer, cursor visibility).

This is the most complete method on Mac, available since macOS Mojave.

Screenshots on Linux

GNOME Screenshot (Ubuntu, Fedora)

  • Print Screen: captures the entire screen.
  • Alt + Print Screen: captures the active window.
  • Shift + Print Screen: select an area.

Since GNOME 42, the built-in tool also supports screen recording.

Flameshot: The Essential Linux Tool

Flameshot is the go-to screenshot tool on Linux. Free, open source, and packed with features.

Launch with flameshot gui, select your area, and use the built-in toolbar for arrows, text, highlighting, numbering, and blur. Save, copy, or upload directly.

  • ShareX (Windows, free): the most feature-rich screenshot tool. Capture, annotate, upload, OCR, GIF recording, workflows. Open source.
  • Greenshot (Windows, free): lightweight and fast. Perfect if ShareX feels too complex.
  • Lightshot (Windows/Mac, free): simple captures with instant online sharing via link.
  • Snagit (Windows/Mac, ~$50): professional-grade. Scrolling capture, video recording, template library, annotation tools.

Screen Recording

Sometimes a screenshot is not enough. Here are the best options for video capture:

  • OBS Studio (free, all platforms): the gold standard for screen recording and streaming. High quality, configurable, no watermark.
  • Xbox Game Bar (Windows): Win + Alt + R for instant recording. Saved as MP4.
  • QuickTime Player (Mac): File > New Screen Recording. Simple and built-in.

Advanced Tips

Capture a Dropdown Menu

Dropdown menus disappear when you click elsewhere. Use a delayed capture: set a 3-5 second timer in the Snipping Tool (Windows) or via Cmd + Shift + 5 > Options > Timer (Mac), then open your menu.

Capture an Entire Web Page (Scrolling Capture)
